Job Title: Bookkeeper/Office Manager

Job Summary: We are seeking a highly organized and detail-oriented Bookkeeper/Office Manager to join our team. The successful candidate will be responsible for managing the day-to-day financial operations and administrative functions of our office. This role requires a proactive individual with strong bookkeeping skills and the ability to handle multiple tasks efficiently.
Key Responsibilities:
- Bookkeeping: (75% of time)

- Maintain accurate financial records and perform regular reconciliations.

- Process accounts payable and receivable, ensuring timely payments and collections.

- Prepare and submit monthly financial reports to the executive team.

- Assist with budget preparation and financial forecasting.

- Manage payroll processing and employee expense reimbursements.
- Office Management: (10%)

- Oversee the daily operations of the office, ensuring a smooth and efficient work environment.

- Manage office supplies inventory and place orders as needed.

- Coordinate and schedule meetings, appointments, and events.

- Maintain and update office policies and procedures.
- Prepare shipments
- Administrative Support: (15%)

- Provide administrative support to the executive team and other staff members.

- Assist with the preparation of reports, presentations, and other documents.

- Manage membership records and assist with member communications.

- Perform other related duties as assigned.
Qualifications:
- Proven experience as a bookkeeper or office manager, preferably in a similar industry.
- Proficiency in accounting software, QuickBooks, and MS Office Suite as well as 3rd party payment platform software (ie Stripe)
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Strong communication and interpersonal skills.
- Knowledge of the mechanical contracting industry is an asset.
- Financial designation is considered an asset.

Job Summary: We are seeking a dynamic and experienced Program Manager to oversee our education initiatives, student chapter development, and women in mechanical contracting programs. The successful candidate will be responsible for developing, implementing, and managing programs that support the growth and development of our members and the industry.
Key Responsibilities:
- Education Programs:

- Develop and manage educational programs and workshops for members.

- Coordinate with industry experts and trainers to deliver high-quality training sessions and webinars.

- Evaluate program effectiveness and make improvements as needed.

- Promote educational opportunities to members and ensure high participation rates.
- Staff liaison to the Future Leaders Advisory Council
- Student Chapter Development:

- Establish and support student chapters at colleges and universities.

- Organize events and competitions to foster student involvement and networking.
- Women in Mechanical Contracting:

- Collaborate with other organizations to promote women in trades.
- Program Management:

Qualifications:

- Knowledge of the mechanical contracting industry is an asset.
- Post-secondary education is an asset.

Job Summary: We are seeking a creative and strategic Marketing and Business Development Coordinator to join our team. The successful candidate will be responsible for the execution of marketing/communications strategies, social media engagement, and managing association partnerships. This role requires a proactive individual with strong marketing and communication skills.
Key Responsibilities:
- Social Media and Communications: (50%)
- Manage and grow the association’s social media presence.
- Create engaging content, including posts, graphics, and videos, to drive engagement and reach.
- Assist in the development and execution of internal and external communications, including newsletters, press releases, and website content.
- Ensure consistent and effective messaging across all communication channels.
- Develop and maintain relationships with media contacts and industry influencers.
- Business Development: (50%)
- Develop and implement strategies to enhance member engagement and satisfaction.
- Oversee partnerships and relationships with new and current members.
- Working under the guidance of the Events Manager to coordinate sponsorship engagement and tracking.
- Manage membership records and communications.
- Conduct surveys and gather feedback to improve member services and programs.
Qualifications:
- Proven experience in communications and social media management, preferably in a similar industry or association.
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Proficiency in marketing and design software (e.g., Adobe Creative Suite, Canva) and social media management tools.
- Knowledge of association management software, Growth Zone, is an asset.
- Knowledge and experience in website Content Management Systems.
- Ability to work independently and as part of a team.
- Creative thinking and problem-solving skills.
- Knowledge of the mechanical contracting industry is an asset.
- Post-secondary education is an asset.
